Position Title: Administrative Assistant / Community Outreach Worker

Reports to: FCSS Executive Director

Position Funded by: Stettler & District FCSS


Position Summary:

The Community Outreach Worker will be responsible for contributing to the design and delivery of social programs that are preventative in nature to promote and enhance well-being among individuals, families and communities through the promotion, encouragement and facilitation of programs and services throughout the service area of the Town and County of Stettler.


Key Accountabilities:

  1. Responsible for using confidential information appropriately, and maintaining the confidentiality and security of all information.

  2. Provide information and referral to residents of the service area. First point of contact for all walk-in and phone clients.

  3. Schedule counseling appointments for in house Counselors

  4. Provide assistance to residents of the service area to complete forms. Coordinate volunteers to assist as appropriate.

  5. Provide reception duties and administrative support for all internal programs.

  6. Maintaining inventory for office products and other supplies and forward to Financial Administrator.

  7. Assist with presenting learning opportunities and for organizing and promoting programs

  8. Provide outreach to the community to liaise with other organizations and community groups through participation in School Council meetings, interagency meetings, community events, focus groups and committee meetings throughout the service area. Share and collect information from these community groups and act as a representative of FCSS.

  9. Develop and administer client feedback questionnaires and report the results for provincial outcomes. Collect data, track program participation and meet reporting requirements for the continued support of funding organizations and the community.

  10. Attend relevant training opportunities, conferences and meetings. Share the acquired information with stakeholders and act as a representative of FCSS.

  11. Participate as a member of the Emergency Social Services team, preparing and enabling the community to respond in the event of a local disaster.

  12. Ensure efficient operation of the office including:   janitorial services, phone system, office equipment and general office maintenance including photocopier and tracking any and all necessary supplies.

  13. Schedule meeting dates and times to ensure appropriate office space is available.

  14. Ensure all key and equipment loans are recorded and returned.

  15. Maintain & update all phone and mailing lists of the projects and associated programs, updating Board information bi-annually.

  16. Develop and/or maintain a records management system, including classifying and coding electronic and hard copy files.

  17. Attend organizational and review meetings for the Christmas Hamper Society, take referral names and information for hampers to compile master distribution list, accept donations and issue receipts and enters stats.

  18. Commissioner for Oaths for the Province of Alberta to certify and witness documents.

  19. Provide immediate information for Crisis calls and refer to appropriate resources.

  20. Operate office equipment such as the fax machine, photo copier, and computer scanning equipment and new upgraded multi-line phone system.

  21. Other related duties as assigned.
